Project Coordinator

Title: Project Co-Ordinator
Reports to: Senior Director, Special Projects Group – Construction
Department: Construction
Location: Vaughan

Position Summary

Assist with the management of various retail construction projects within the Portfolio. Assist with the overall project performance as related to costs, schedule, quality, and customer service while adhering to Company policies and procedures.

Academic/Education Requirements:

• Architectural Technologist Degree, Engineering Degree and/or Civil Engineering Technology Degree.
• Additional designation and/or certification an asset, specifically in Construction Management.

Qualifications and Required skills/Experience:

• 1 – 2 years’ experience in design and construction.
• Understanding of construction drawings and specifications.
• Knowledge of construction and technology methods.
• Versed in the application of building codes.
• Be familiar with lease documentation and construction drawings and terminology.
• Ability to prioritize workload and multitask.
• Excellent oral and written communication skills and must possess the ability to effectively communicate across all levels of management within the Company as well as outside the organization.
• Must be detail oriented and able to problem solve.
• Proficient in MS Word, Project, Autodesk 360, Pacman, Sharepoint and Excel.
• Must own personal vehicle and have a valid driver’s license as some travel will be required.

Responsibilities and Expectations:

• The specific duties and responsibilities for this position include but are not limited to the following:
• Participate in design meetings with architects and consulting team.
• Participate in project site meetings with Project Manager and General Contractor.
• Involvement with the overall architectural or civil design of the project.
• Coordinate contract bidding process.
• Assists in negotiating and issuing prime contracts and purchase orders.
• Carry out all project’s contract administration in accordance with Company policies and procedures.
• Monitor project costs through change order and contract adjustment procedures.
• Assists in developing recovery strategy when project schedule or budget is in jeopardy.
• Review and update schedules, cost forecasts and cash flow requirements with Project Manager and Sr. Manager, Planning & Scheduling as required.
• Assist in preparing and processing general contractor progress draws for payment and consultants and supplier’s invoices in a timely manner.
• Work with accounting department to ensure proper accounting coding and payments of progress draws and recoverable costs.
• Coordinate all tenant aspects of the project from drawing coordination, scheduling, and costs to the satisfaction of the tenant.
• Review Tenant drawings and prepare all necessary letters.
• Establish effective working relationship with each tenant’s construction manager.
• Start to develop and maintain relationship with architects and engineers.
• Assist Project Manager with the resolution of project dispute in a timely manner.
• Complete project closeout documentation for archiving or transfer to Operations.
• Follow-up on deficiencies in a timely manner.
• Liaise with building officials and regulatory agencies.
• General and administrative duties as required.
• Perform additional assignments/special projects per supervisor’s direction.
